How to manage your orders in PrestaShop 1.5-1.6

To manage orders in PrestaShop, go to Orders menu>Orders sub-menu in the admin panel. On the page that opens there's a table with all the orders. At the top of the page there's a button Add new order with which you can manually add an order from the admin panel.

In this article we'll concentrate on the information and settings displayed on the page with details for an order. To open that page, click in the table with the existing orders on the row corresponding to the order or on its View button. At the top of the page that opens there are some button with which you can perform various things with the order or the products in the order. On the page itself there are a bunch of blocks. Each of them contains some information related to the order and some options for performing various tasks. In this article we'll briefly go over them. Action Buttons at the Top of the Order Details Page

At the top of the order details page there are some buttons. There are arrow buttons with which you can go to the order details page of the previous or the next order. There's a Print order button with which you can print the order information. The status of the order determines which of the other buttons will be available. These include buttons for viewing and downloading the invoice and the delivery slip (in PDF format). The buttons Partial refund, Standard refund and Return products will bring you down the same page to the Products block. Depending on the button that you click there will be various options that you can configure there. Note that the buttons Standard refund and Return products are available only if merchandise returns are enabled; you can enable them from Orders menu>Merchandise Returns sub-menu.

Order Status and Documents Block

The options for managing the status of the order and the associated documents are in the same block that has two tabs at the top. Note that in PrestaShop 1.5 the Documents block is a separate one.

Each order has a status that indicates its progress. You should change the status of the order so that it corresponds to its current progress. There's a drop-down menu from which you can do that. For example, when you ship the order to the customer you can change its status to Shipped.

The Documents block lists the documents (e.g. invoice, delivery slip) associated with the order. From it you can view and download a PDF file of the document.

Customer Block

The Customer block shows a summarized information of the customer that placed the order. It displays the name and email address of the customer, the date the customer registered, the number of placed orders, and the total amount spent. If you want to see the full customer information click on the name of the customer. This will redirect you to the page that shows all the details about the particular customer; you can also access that page by going to Customers menu>Customers sub-menu in the admin panel and selecting the particular customer in the table with the existing customers.

Messages Block

You can use the Messages block to send messages to the customer about the order. It contains several options. In PrestaShop 1.5 the block is labeled New message; it's at the bottom of the page and you have to click on the Click here button that's inside it to view the options for sending a message.

In the block there's a drop-down menu from which you can select a preconfigured message (instead of typing a new one); you can add and edit these messages from Orders menu>Order Messages sub-menu.

If you want to type a new message, use the text area that's provided in the block. If you want the message to be sent to the customer, make sure that the option Display to customer is set to Yes. Otherwise, the message can be viewed only in the admin panel.

Shipping and Merchandise Returns

This is a block that has two tabs with which you can switch between the shipping information and the information about merchandise returns. In PrestaShop 1.5 these are two separate blocks.

The shipping information that's displayed is the name of the carrier, the weight of the package and the shipping cost. The only thing you can edit here is the tracking number.

The block Merchandise returns shows whether there is a request for product returns and the status of that request. Keep in mind that merchandise returns are disabled by default. You can enable them from Orders menu>Merchandise Returns sub-menu. Shipping and Billing Address Block

This block shows the shipping address and the invoice address (they may be different) specified by the customer for this particular order. You can switch between the addresses using the tabs at the top of the block. In PrestaShop 1.5 these are two separate blocks.

Note that a customer can register many addresses. If you want to, you can change the shipping and/or billing address with one of the other registered addresses associated with that customer. You can do that with the drop-down menu in the block. You can add new addresses and manage all addresses from Customers menu>Addresses sub-menu in the admin panel.

Payment Block

The block Payment shows some details about the payment method that was used.

There's an Add button with which you can add the payment manually (provided the payment hasn't been accepted).

Products Block

The Products block lists the products in the order. From it you can also do various things; what you can do also depends on the current status of the order. If the order is not shipped yet, for each product there's an Edit and a Delete button. You can use them respectively to edit the price and quantity of the product and to remove the product from the order altogether.

In the block there's also a button Add a product (available if the order hasn't been shipped) with which you can add products to the order. With the button Add a discount you can add a discount for the order regardless of its status. If the payment has already been accepted, it's up to you to decide how you're going to apply the discount (e.g. create a voucher, send the amount to the customer, etc.).

In the Products block you can also mark refunds and returned products. To do this, first you have to click on the respective button (e.g. Partial refund, Return products) that's at the top of the order details page. This will automatically display the Products block on the same page with the respective options activated.
